Branch/Group/Team

Branch/Group/Team

Introduction:

This user guide explains how to manage Branch/Group/Teams in Better MLO's settings. Branch/Group /Teams help create a structured hierarchy within your organization and streamline collaboration among users with varying roles.

Accessing Branch/Group/Teams:

1. Begin by logging in to Better MLO.

2. Navigate to the "Settings" section.

3. Under “Settings” click "Branch/Group/Team", where you will find options to create and manage your teams.

Creating a New Branch/Group/Team:

1. To create a new team, click the "Add New Branch/Group/Team" button.

2. Provide a name for your team, which is a distinct identifier for this group for example “Team White”.

3. Choose a parent for the team. A parent indicates the hierarchy level; no parent implies a standalone team.

4. Save the team.

Understanding Hierarchy:

  • Teams can be part of a hierarchy where one team reports to another. A hierarchy helps in organizing users more efficiently.
  • A parent team is a higher-level group under which other teams can be nested.
  • A standalone team has no parent and exists independently.

Creating a Hierarchical Structure:

1. If you wish to create a hierarchical structure, think of it like an organizational chart.

2. Begin with the top-level team, often representing the entire company or a broad division.

Building Hierarchy:

1. Create groups that align with your organization's structure.

2. For instance, set up a "Staff Director" team under the parent "Better Lending Team."

Adding Team Members:

1. After creating a team, add members who belong to that team by clicking “Add Members”.

2. These members can be assigned different roles based on their responsibilities within the team.

3. You can also appoint an admin for the group who can assist in managing the team by clicking Star.

Admin Role in Teams:

  • The admin role has the authority to edit the team's details, including its members.
  • Admins can be designated during the team creation process or changed later.

Removing Members:

1. To remove members from a team, click the icon.

2. You can reassign admin roles or unassign team members as needed by clicking Star.

3. Add or remove team members, which is particularly useful in cases where personnel changes occur.

4. Click “Save” to make the team.

Viewing Teams:

  • You can view all the teams within the organization or filter to see only your own teams, depending on your administrative rights.
  • The "Show All" option allows viewing all teams, while "My Team" displays only the teams where you hold an admin role.

Editing Teams:

  • Identify the team you want to edit from the list of teams displayed.
  • If you wish to change the name of the team or make other changes, click on the “Edit” icon.
  • Update the changes as needed and save the changes.

Deleting Branch/Group/Teams:

  • Be cautious while deleting teams, as it may have cascading effects on nested teams and their members.
  • Deleting the top-level team will remove all nested teams and their members, so use this option judiciously.
  • A warning is issued when deleting a team with "Cascading" groups. Deleting such a group will remove all associated sub-teams and members. Exercise caution when using the delete function.

Cascading Groups:

  • Cascading group deletion means that removing a parent team will delete its child teams and associated members.

Conclusion:

Creating and managing branch group teams in Better MLO offers a powerful way to structure your organization and facilitate effective teamwork. Whether it's establishing a multi-level hierarchy or maintaining standalone teams, this feature helps improve collaboration and manage users efficiently. Be cautious with team deletion, as it can affect nested teams and their members, but when used thoughtfully, it can streamline your organization's structure.
