Contacts Screen Overview

In Better MLO, a contact is someone you know has some type of interest in getting a mortgage. We differentiate the contacts into two categories: leads and borrowers. To us, having these two contact types give us an immediate indication of where they are in our pipeline.


Let me reemphasize this: In Better MLO terms, A Lead is someone who has expressed interest in getting a mortgage. Prior to starting an application, the Better MLO system allows the Loan Officer to set up stages and associate their follow up schedule so that they may follow up with their Leads in a structured and logical method. 


A Borrower is someone who has started filling out the application. Both are important and the transaction between Lead and Borrower is seamless inside of Better MLO. A CoBorrower is another person on a mortgage application.


Better MLO offers an effective contact management system that allows you to organize, view, and interact with your contacts efficiently. This guide will provide a comprehensive overview of the "Contacts" feature, demonstrating its various components and functions.

Accessing the Contacts Screen:

1. Log in to your Better MLO account.

2. Navigate to the "Contacts" section, where you can manage your contacts.

The Contacts List:

1. Upon accessing the Contacts screen, you'll find a list of all your contacts.

2. This list displays the contact's name, contact type, source, generation, owner, no marketing preference and including the total count.


3. Each contact is accompanied by options for viewing, editing, and deleting.

Filtering Contacts:

1. Utilize the search bar to find a specific contact by name.

2. Filter contacts by type, such as leads, borrowers, and co-borrowers.

3. Filter contacts based on predefined stages, like hot leads.

4. Use the "Active" and "Archive" toggle to switch between active and archived contacts.

Understanding Contact Types:

  • Leads: Individuals expressing interest in a mortgage but haven't submitted an application.
  • Borrowers: Contacts with an associated mortgage application or closed mortgage.
  • Co-borrowers: Individuals on an application but not the primary borrower.

Viewing Contact Details:

1. To view a contact's details, click on their name or the leftmost icon in the list.

2. You will be directed to the "Details" screen.

View Contact Details Screen:

• This screen provides a detailed overview of the selected contact.

Key Elements on the View Contact Screen:

Contact Information: Displays the contact's name, phone number, and email.

Age of the Lead: Indicates how long ago the contact was added to the system.

Status Note: Shows the most recent status note and its age.

Contact Type: Identifies whether the contact is a lead, borrower, or co-borrower.

Source: Reveals how the contact was generated, such as a referral partner or website.

Generation: Specifies if the contact was self-generated or company-generated.

Referral Partner: Shows the name of the referring individual, if applicable.

No Marketing: Indicates the contact's marketing preference (off/on).

Log Touch: Tracks interactions with the contact.

Add Note and Recent Notes: Allows you to add, view, and track notes associated with the contact.

  • Adding Notes: Use the "Add Note" feature to document interactions or important information.

Editing Contacts:

1. To edit a contact's details, click the "Edit" button on the "Details" screen.

2. Modify the contact's information, such as their name, phone, or email.

3. Save the changes.

Deleting Contacts:

  • You have the option to delete contacts, but exercise caution when using this feature. Deleted contacts cannot be recovered.

Using the Phone and Email Integration:

  • You can easily call a contact by clicking on their phone number (if you have integrated a phone system). Similarly, you can email a contact by clicking on their email address (with an integrated email service).

Adding Mortgages (Optional):

  • In some cases, you may need to add mortgage details for contacts, which you can do by clicking “Add Mortgages”.
  • Fill the details and click save to add mortgage. This feature is optional and is generally not used for managing contacts.

Managing Contact Stages:

• Contact stages help you track the progress of your contacts and are configurable through the system settings. Specific stages can be selected or created to categorize contacts effectively.
